The 140th Canton Fair runs October 15 – November 4, 2026 in Guangzhou — the world's largest trade show, with about 75,700 booths across 54 sectors. For first-time buyers, the difference between a productive trip and a frustrating one is decided before the flight takes off.

This checklist covers the eight things every first-time buyer should prepare, with a section on combining the trip with vehicle sourcing in nearby Dongguan.

1. The 8-Point Pre-Trip Checklist

#ItemActionTiming
1Visa & invitation letterApply for a China visa (or confirm visa-free eligibility); obtain a buyer invitation letter from the Canton Fair system to support the application6–8 weeks before
2Buyer registrationPre-register free on cantonfair.org.cn; badges also at Baiyun Airport, Guangzhou South and designated hotelsFrom today (year-round)
3Flights & hotelBook near the Pazhou complex (metro line 8); hotels fill up weeks ahead during fair season4–6 weeks before
4Budget & FXSet an order budget in USD; carry RMB cash plus Alipay/WeChat Pay for on-site expenses; confirm T/T or L/C terms for orders2 weeks before
5Sourcing listWrite your target products with specs, quantities and target prices — share it with suppliers before arrival for pre-arranged meetings3–4 weeks before
6Logistics planDecide destination port, volumes and container strategy; ask for FOB or landed-cost quotes in advance3 weeks before
7Itinerary & meetingsBook vendor meetings by phase; reserve interval days (Oct 20–22, 28–30) for factory or vehicle-yard visits2 weeks before
8Vehicle sourcing planIf you buy cars too: shortlist models, request FOB quotes and schedule a Dongguan yard inspection (30 min by rail from Guangzhou)2 weeks before

2. Visa and Registration (Start Here)

Most African, Middle Eastern and South American buyers need a China visa. The Canton Fair system issues buyer invitation letters that materially support visa applications — apply 6–8 weeks ahead. Visa-free entry schemes cover certain nationalities and transit cases; confirm with your local Chinese embassy or consulate before booking flights.

Buyer registration is free and year-round on cantonfair.org.cn. During the fair, badges can also be issued at Guangzhou Baiyun International Airport, Guangzhou South Railway Station, the Pazhou Ferry Terminal and designated hotels — useful if your plans change at the last minute.

3. Budget, Payment and What to Carry

4. Logistics: Plan the Container Before You Fly

The cheapest mistake is deciding shipping after you have already bought. Before arrival:

  1. Decide your destination port (Lagos, Tema, Dakar, Mombasa, Jebel Ali…).
  2. Estimate volumes: a 40ft container fits 2–4 SUVs, or mixed general cargo from your fair purchases.
  3. Ask suppliers for FOB or landed-cost quotes (duty and taxes included) before you negotiate.
  4. Check whether consolidation makes sense — combining fair purchases with vehicles in one container cuts per-unit freight.

5. Adding Vehicle Sourcing to the Same Trip

The Canton Fair and China's used-car export cluster are physically close. Dongguan's vehicle yards are about 70 km from the Pazhou fairground — a 30-minute high-speed rail ride or a one-hour taxi.

Practical schedule (illustrative example only)

Morning: Phase 1 automotive zones (New Energy Vehicles, Vehicle Spare Parts).

Afternoon: train to Dongguan, inspect shortlisted vehicles at a licensed exporter's yard, negotiate FOB pricing.

Evening: confirm the order and shipping from Nansha Port — back in Guangzhou the same night.

Wholesale tip: fair exhibitors sell vehicles, but direct suppliers in the Dongguan factory yards — 25-year first-hand sourcing, factory-level pricing, deep hybrid and new-energy stock — are where the real wholesale prices are.

Why combine? You already hold a China visa, you are already paying for flights — adding a car sourcing visit costs only one afternoon, and it lets you inspect the actual stock instead of buying from photos.

6. Common First-Timer Mistakes

  1. Booking flights before the visa is approved. Apply for the invitation letter and visa first.
  2. Underestimating hotel demand. Pazhou-area hotels sell out weeks ahead during fair season.
  3. No sourcing list. Vendors are more productive when you arrive with written specs and quantities.
  4. Ignoring logistics until after purchase. Container plans and port choices should be fixed before you negotiate prices.
  5. Skipping the vehicle yard visit. For car buyers, the single highest-value hour of the trip is inspecting real stock in Dongguan.

7. Frequently Asked Questions

Do I need a visa to attend the Canton Fair?

Most overseas buyers need a China visa or an eligible visa-free entry arrangement. The Canton Fair official website provides buyer invitation letters that support visa applications — apply at least 4–6 weeks before the fair.

Is buyer registration free?

Yes. Buyer pre-registration is free and open year-round on cantonfair.org.cn. Badges can also be issued at Baiyun Airport, Guangzhou South Station and designated hotels during the fair.

Can I pay suppliers with my own currency or cards?

For on-site expenses, RMB cash or Alipay/WeChat Pay work best. For orders, suppliers quote in USD (EXW/FOB/CIF) and payment is typically by T/T bank transfer, or L/C for larger orders.

Should I book Phase 1 if I'm interested in vehicles?

Yes — New Energy Vehicles and Smart Mobility plus Vehicle Spare Parts are only open in Phase 1, October 15–19, 2026. If your main buying is elsewhere, use the interval days (Oct 20–22, 28–30) for factory or yard visits.

How should I plan logistics before arrival?

Decide your destination port, estimate volumes and container plans in advance. Suppliers can provide FOB or landed-cost quotes, and consolidated containers can combine fair purchases with vehicles.

Is it worth visiting suppliers outside Guangzhou?

For vehicle buyers, yes. The used-car export cluster in Dongguan is about 70 km away — 30 minutes by high-speed rail — and a yard visit lets you inspect the actual stock before paying.

Published by Leo Car Export (Zhongqi Auto Overseas) — a licensed used-vehicle direct supplier at Liaobu, Dongguan. Factory-level wholesale pricing is backed by our founder’s 25 years of first-hand sourcing in China’s automotive trade, across BYD, Changan, Jetour, Toyota, GAC and 30+ models — with a deep stock of hybrids and new-energy vehicles. Every unit loads at Nansha Port, 40 minutes away, with dedicated freight partners for fast customs clearance. The Canton Fair floor is full of vehicles; the factory-yard wholesale prices are in Dongguan — about one hour from the fair by city rail or taxi.
